To ensure support to Sales organization team and optimally carried out all administration and communication. Provide services to customers & sales team to support the business managed effective and efficiently in line with the company policy.
Accountabilities:
- Maintain & ensure effective & efficient support to sales department in all admin work: Provide support in all administration work and communication in sales dept and across dept.
- Expenses claim and business advance: Ensure that claims are supported by adequate supporting documents, valid, accurate, properly classified, ensure that BA & operational claims comply with the existing LOA and the existing company regulation, follow up immediately and ensure problem/unclear situation are solved-coordination with head office.
- Clear documentation: All data in Sales Dept. Maintain effective, efficient filing and retrieval system.
- Data & reporting: Ensure that all required data and report are manage and reported within time line (i.e: forecast, sales retailer, channel stock, KAM, promotion material, deployment staff, sample data, asset, staffing), Ensure that all administration in region - related to MBR reports, regional forecast, sample, sales dealer to retailer, stock channel, cost spending, file data & retrieval, staffing, company asset are within the company LOA, following company policy and well managed within time frame.
- Rebates: Ensure accurate, reliable and valid document for submission. To follow Rebate policy, Prepare settlement proposal for RSM. Consolidation with CS for final realisation.
- Ticketing, meeting arrangement: Provide travelling & meeting arrangement for Sales organisation (especially for the Sales Manager, Business Managers) and help necessary request from field force in region.
- Contact Point of Enquiries in region - for Internal and External Customer: ensure that all enquiries from internal and external customer are received, follow up and solved.
- Bachelor’s degree in Business Administration / Secretary Academy / Agriculture.
- Proficiency in MS Office (Excel, Word, PowerPoint).
- Fluent in English both in written and speaking.
- Having 2-3 years’ experience and strong back ground in administration and or secretarial work.
- Strong communication and interpersonal skills.
- Attention to detail and accuracy.
- Manages performance to ensure high standards.
