Freelance Event Planner.

CONTRACTREMOTE

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Freelance Event Planner based in the United States.

We are seeking an experienced Freelance Event Planner to independently manage the delivery of high-impact corporate events from initial handoff through final wrap-up. You will take ownership of events that have already been sold and creatively designed, ensuring every detail is executed seamlessly and professionally. Working closely with clients, vendors, production teams, and other event partners, you will coordinate schedules, logistics, budgets, and on-site operations. This project-based opportunity is ideal for a highly organized professional who can balance client relationships with hands-on event execution. The immediate need runs through December 2026, with potential for additional projects during future peak seasons. Strong performance may also lead to consideration for more permanent opportunities as the organization grows.

Accountabilities

    • Take ownership of assigned events from the handoff of approved proposals, designs, and budgets through final delivery and wrap-up.

    • Develop and manage event timelines, run-of-show documents, and production schedules.

    • Coordinate vendors, rentals, and talent, confirming orders, schedules, load-in and load-out arrangements, and on-site requirements.

    • Collaborate with production and warehouse teams to ensure builds, décor, and logistical arrangements are completed on schedule.

    • Monitor event spending against approved budgets and proactively communicate potential changes or additional costs.

    • Serve as the primary client-facing contact for assigned events, leading check-ins, confirming details, and managing changes professionally.

    • Lead on-site event execution, including setup, vendor coordination, schedule management, troubleshooting, and teardown.

    • Provide occasional support for smaller event proposals when needed.

    • Requirements:

      • At least 6 years of professional event planning experience, preferably with corporate events.

      • Demonstrated ability to manage events end to end independently and with minimal supervision.

      • Strong organizational skills and attention to detail, with the ability to remain calm and effective under pressure.

      • Excellent written and verbal communication skills, with a polished, approachable, and client-focused style.

      • Experience coordinating vendors, managing event logistics, and working within approved budgets.

      • Proficiency with Google Workspace; familiarity with event planning or project management tools is an advantage.

      • Based in the San Francisco Bay Area or able to reliably travel to and work on-site in the region.

      • Benefits:

        • Freelance, project-based engagement with defined event assignments.

        • Immediate project opportunities through December 2026.

        • Potential for recurring assignments during future high-volume event periods.

        • Strong-performing freelancers may be considered first for future projects and potential permanent opportunities.

        • Remote work arrangement with reliable on-site availability in the San Francisco Bay Area required for event delivery.

        • Compensation, healthcare coverage, and other benefits are not specified in the job description.
