Key Responsibilities

  • Coordinate mid-term subscription changes including upgrades, downgrades, plan changes, and proration calculations.
  • Coordinate with Sales on renewal pricing and ensure renewal terms flow correctly from Salesforce through Stripe and into NetSuite.
  • Maintain documentation of subscription configurations, pricing logic, and exception handling.
  • Partner with Sales to coordinate renewal cycles and surface concerns early.
  • Manage sales tax accuracy across the various states we operate in.

Auto-Pay Monitoring & Recovery

  • Monitor auto-pay activity daily; identify failed transactions and initiate recovery cadence per established policy.
  • Coordinate with customers, Customer Success, and Sales on payment failures, expired cards, and bank transfer issues.
  • Track recovery rates and escalate persistent failures or chronic issues to Finance leadership.

Stripe-to-NetSuite Reconciliation

  • Perform monthly reconciliation between Stripe transaction activity and NetSuite revenue and AR balances.
  • Investigate and resolve discrepancies between Stripe and NetSuite; document root causes and corrective actions.
  • Maintain integration health between Salesforce, Stripe, and NetSuite; flag automation breaks or sync issues to Finance and IT.
  • Reconcile deferred revenue between Stripe and NetSuite.
  • Support month-end close deliverables for subscription revenue and deferred revenue tied to the subscription book.

Cross-Functional Coordination & Improvement

  • Partner with Finance, Sales, Customer Success, and Operations on subscription-related questions and process improvements.
  • Surface trends, risks, and recurring issues in the subscription book to Finance leadership with recommendations.
  • Identify opportunities to automate manual subscription operations workflows; propose AI-enabled improvements where appropriate.
  • Develop and maintain SOPs for subscription operations to support process consistency and onboarding.

Required Skills and Qualifications

  • Associate degree in Finance, Accounting, Business, or a related field.
  • 3–5 years of experience in subscription operations, billing operations, accounts receivable, or a comparable systems-driven finance role.

  • Strong attention to detail, accuracy, and documentation discipline.
  • Ability to analyze subscription transactions and reconcile across multiple systems to resolve discrepancies
  • Effective time-management and organizational skills with the ability to manage recurring cycles and competing priorities across the Finance and Sales teams.

Preferred Skills and Qualifications

  • Hands-on experience with Stripe, including subscription configuration, failed payment recovery, and reporting.
  • Strong working fluency with NetSuite and Salesforce, with experience reconciling subscription activity across both systems.
  • Background in SaaS, recurring revenue, or subscription billing environments.
  • Working knowledge of ASC 606 Revenue Recognition.
  • Comfort using AI / LLM-based tools to accelerate analytical and operational workflows.
