Process Admin.

FULL TIMEON-SITE

Program Overview

MSX International provides process administration and coordination support to Hyundai Motor America (HMA), helping teams manage incoming work, maintain accurate records, and track deliverables through completion. Based on-site at HMA headquarters in Fountain Valley, California, this role supports established workflows across a variety of business functions.

The Process Admin helps keep work organized, ownership clear, and stakeholders informed by logging new items, coordinating assignments, documenting issues, and reporting progress. The role can support different teams and processes while following the requirements of each assigned workflow.

Are you organized, detail-oriented, and someone who keeps work moving? Do you enjoy coordinating with others, following up on open items, and making sure nothing falls through the cracks?

At MSX International, we’re looking for a Process Admin to support established business processes through accurate tracking, clear communication, and consistent follow-through. You’ll log incoming requests and deliverables, coordinate task ownership, document issues, and maintain visibility into progress from intake through completion.

Depending on the process, you may coordinate work assigned to other task owners or remain the responsible task owner while working with key personnel to obtain information, resolve issues, and complete required activities. This role is well suited to someone who can adapt to different workflows, manage competing priorities, and provide reliable status updates.

Key Responsibilities

As a member of the process support team, you’ll:

  • Receive, review, and log new requests, tasks, items, or deliverables in designated tracking systems.
  • Check incoming information for completeness and follow up on missing or unclear details.
  • Assign or coordinate task ownership in accordance with established processes and management direction.
  • Remain the responsible task owner when assigned, coordinating with key personnel to move work forward.
  • Record applicable requirements, priorities, due dates, dependencies, and supporting documentation.
  • Track open items from intake through completion, maintaining accurate and current status information.
  • Follow up with task owners and stakeholders on outstanding actions, approaching deadlines, and overdue items.
  • Document issues, questions, blockers, and changes that affect progress or completion.
  • Escalate unresolved issues, delays, or ownership questions to the appropriate personnel.
  • Prepare and communicate routine status updates, summaries, and reports.
  • Coordinate meetings or follow-up discussions as needed and document decisions and action items.
  • Confirm that required information, actions, and records are complete before closing items in accordance with the applicable process.
  • Maintain organized records to support traceability, retrieval, and continuity of work.
  • Identify recurring process gaps and communicate opportunities to improve tracking, handoffs, and administrative efficiency.
  • Perform other related administrative and coordination duties as assigned by MSX and client management.

Technical Expertise

  • Proficiency with Microsoft Office 365, including Excel, Word, Outlook, and PowerPoint.
  • Ability to maintain spreadsheets, task logs, status reports, and shared records.
  • Ability to learn and use designated tracking, workflow, and document-management systems.
  • Understanding of task ownership, due dates, dependencies, issue tracking, and closeout.
  • Accurate data entry and document-control practices.

Desired Skills

  • Strong organization and attention to detail.
  • Consistent follow-through and accountability for assigned work.
  • Clear written and verbal communication.
  • Ability to coordinate with personnel across different teams and functions.
  • Sound judgment in identifying when to follow up, clarify, or escalate.
  • Ability to manage multiple assignments and adapt to changing priorities.
  • Practical problem-solving skills and a process-oriented approach.
  • Ability to work independently while remaining aligned with team priorities and established procedures.

Required Qualifications

  • High school diploma or equivalent.
  • Experience in administrative support, process coordination, task tracking, or a comparable role.
  • Proficiency with Microsoft Office 365.
  • Ability to maintain accurate records and prepare clear status updates.
  • Ability to follow established procedures and coordinate work through completion.
  • Strong communication, organization, and time-management skills.
  • Ability to work on-site at HMA headquarters in Fountain Valley, California.

Preferred Qualifications

  • Experience supporting multiple stakeholders or cross-functional teams.
  • Familiarity with workflow tracking, issue logs, shared databases, or document-management systems.
  • Experience supporting a corporate, automotive, technical, or operations environment.

At MSX International, you’ll help teams stay organized, maintain visibility into their work, and deliver on their commitments. Working on-site at HMA headquarters provides exposure to business processes and cross-functional teams, with opportunities to broaden your coordination and process administration skills.

If you enjoy bringing structure to day-to-day work and keeping tasks moving toward completion, we want to hear from you.
