Job Description
Center for Civic Futures (CCF), a program of Renaissance Philanthropy, exists to align government leaders, technology builders, and partners around transformative opportunities presented by AI and emerging technologies. We envision a future where governments are able to both effectively harness emerging technologies to meet the needs of a changing world, and stand at the forefront of responsible AI driving positive change for everyday people.
The Events and Community Manager leads all logistical planning and on-the-ground execution of Center for Civic Futures convenings, briefings, salons, roundtables, and public programs. This includes programming that engages funders and operators, as well as government and Tribal officials. Reporting to the Director of Operations, this role owns production schedules, venue and vendor logistics, contracts and negotiations, and budget planning. It owns tracking and on-site delivery, translating program strategy set by leadership into flawlessly executed events that deliver real value, not just polished production.
This person should have strong instincts for event design, favoring substance and real connection over formality and script. Every convening should be co-built with the people in the room, shaped around what attendees actually need, so the value is felt immediately and authentically, not staged for effect. This is innovative work: building tailored experiences for cross-sector groups that seldom meet, alongside the intuition to adapt when traditional methods won't serve the room.
The ideal candidate knows how to make a room feel personal without letting it feel unprepared, reading what different stakeholders, funders, Tribal officials, civil servants, operators, actually need and shaping the gathering around that rather than a fixed format. They notice when a program starts to feel performative and are willing to adjust course, even late in planning. Success, to them, is measured less by a flawless run of show and more by whether people left with a real relationship, idea, or next step.
On the community side, this role focuses on who is in the room. It involves facilitating introductions, helping manage online spaces, and keeping the network warm between major gatherings. Trust and connection aren't built in a single moment, they require continuous, year-round engagement beyond our scheduled gatherings. We expect this person to bring their own relationships and networks, and to actively use them in service of building trust and collaboration across sectors, expanding who CCF can reach and what's possible when we convene.
This position is a fully remote, US based role with occasional travel for convenings and partner meetings.
We offer a full healthcare package, 5% 401(k) or pension contribution, additional $550/month (US) for fringe benefits, and base salary. The base salary range(s) for this role are as follows:
• $130,000 - $150,000
Role and Responsibilities
Event Planning & Execution
Own production schedules, timelines, run-of-show documents, swag, all created and or printed materials, and day-of logistics for all CCF events and convenings.
Research, propose, and coordinate venue and lodging options for approval.
Negotiate and manage hotel room blocks, group rates, rooming lists, including all attendee reservation logistics.
Serve as on-site lead for program flow, registration, and attendee experience, managing real-time issues and adjustments with a calm, composed presence and a smile.
Ensure working sessions, breakout rooms, demos, and networking activities are fully supported with technology, materials, and staff.
Lead AV logistics and rehearsals in partnership with leadership and venue technical staff.
Support logistics for specialized programming, such as hands-on prototyping or tech-engagement sessions, including coordinating space, equipment procurement, and staffing needs, as well as internal and external scheduling.
Tailor event format and logistics to the audience. This includes the fast-paced, VC-driven energy of an accelerator demo day, the community and space-oriented feel of an incubator open house, or the hands-on working sessions typical of a venture studio build sprint.
Lead and maintain the registration process throughout the event cycle. Work with leadership to determine and implement strategies for general attendance and key stakeholder participation.
Speaker & Program Logistics
Own speaker logistics, including onboarding, prep materials, travel/honoraria, and on-site flow, in coordination with leadership. This includes outreach, confirmations, and full event platform ownership as well as primary management of all event-related communications and inbox.
Oversee final review and quality assurance for all event collateral (signage, programs, badges, etc), guaranteeing alignment with venue layouts and master event logistics.
Manage acquisition of all supplies for sessions and networking events. This includes, but is not limited to, leading discussion of what supplies may be required, managing purchasing/shipment, and facilitating post-event supply storage or recycling.
Vendor & Staff Coordination
Manage day-to-day vendor coordination, contract deliverables tracking, and service quality.
Coordinate and manage all event staff roles, schedules, and production execution for each event including internal staffing.
Develop and maintain Standard Operating Procedures (SOPs) for recurring event logistics and venue readiness.
Ensure compliance with safety, permitting, accessibility, and other regulatory requirements at all venues.
Lead weekly check-ins to track milestones, flag risks or delays early, and keep event workstreams aligned across the team cross-functionally.
Budget & Financial Support
Track event expenses and manage execution against the budget approved by leadership, flagging risks and proposing adjustments.
Partner with the Operations Team on vendor payments, invoice tracking, contract and documentation follow-up, and compliance needs tied to events.
Support financial close-out by reconciling contracted services against actual delivery and coordinating final vendor payments in partnership with the Operations Team.
Reporting & Continuous Improvement
Field attendee and stakeholder queries before, during, and after events.
Present post-event findings and recommendations to inform future event strategy.
Maintain event documentation, archiving, and knowledge capture to present to leadership.

Existing relationships or working familiarity with tech-ecosystem organizations, including accelerators, incubators, venture studios, VC firms, or university innovation programs, that can be activated for venue access, speaker referrals, or partnership opportunities.
Proven ability to manage vendors, venues, and on-site logistics under tight timelines.
Experience coordinating part-time or temporary event staff in fast-paced, guest-facing environments.
Proven ability to create and manage end-to-end event budgets, overseeing the full financial lifecycle from initial forecasting and expense tracking through final reconciliation.

Proficiency with project management tools, such as Asana and Airtable, for tracking tasks, timelines, and speaker and participant status.
A passion for civic engagement, public dialogue, and delivering polished, mission-aligned event experiences.
