You'll work closely with service coordinators, clients, families, and internal departments to follow up on outstanding authorizations, communicate changes, and help ensure services are coordinated appropriately.

This is a detail-oriented, fast-paced role requiring strong organizational skills, accurate data entry, proactive follow-through, and the ability to manage competing priorities while maintaining clear communication and ensuring authorization information is up to date.

WHAT YOU WILL DO:

  • Data Entry & Authorization Updates: Perform accurate, high-volume data entry by creating and updating client profiles, entering authorization details, processing changes, and maintaining complete records in the company's internal system. • Authorization Portal Management: Manage external authorization portals, review authorization information, submit required updates, and ensure information is accurately reflected across internal and external systems.
  • Authorization Follow-Up & Discrepancy Resolution: Monitor outstanding authorizations, follow up with service coordinators, identify discrepancies between external portals and internal records, and work to resolve issues in a timely manner.
  • Internal Communication & Coordination: Communicate authorization updates to internal departments, including Staffing and Intake, to ensure changes are shared promptly and services can be coordinated appropriately.
  • Client & Stakeholder Communication: Respond to inquiries from service coordinators, clients, and families regarding authorization status, changes, and service-related concerns while maintaining professionalism and providing timely updates.
  • Documentation & Reporting: Maintain accurate authorization records, document communication and follow-up activities, complete authorization reports, and use Excel and other systems to review and compare authorization information.

MUST HAVE:

  • Education: High school diploma or equivalent.
  • Language Skills: Bilingual in English and Spanish.
  • Microsoft 365 Proficiency: Proficiency in Microsoft Office applications, including Excel, Word, and Outlook, with the ability to review information, manage communications, and maintain accurate records.
  • Data Entry & Accuracy: Strong keyboarding and data-entry skills, with the ability to enter, update, verify, and maintain detailed information accurately and efficiently. Comfortable handling repetitive data-entry tasks, working with multiple records and systems, identifying missing or inconsistent information, and balancing productivity with accuracy.
  • Communication & Customer Service: Strong verbal and written communication skills with the ability to respond professionally to inquiries, follow up on outstanding issues, and communicate updates clearly.
  • Organizational Skills: Strong attention to detail and time management skills, with the ability to manage multiple tasks, track outstanding issues, and meet deadlines.

NICE TO HAVE:

  • Healthcare & Home Care Experience: Previous experience working in healthcare, home care, or a related service-oriented environment.
  • Authorization & Eligibility Experience: Experience with medical billing, insurance verification, prior authorizations, authorization requests, or eligibility management.
  • Healthcare Systems & Portals: Experience using electronic health records (EHRs), authorization management systems, or external payer portals. Familiarity with MatrixCare is a plus.
  • Data Entry & Administrative Experience: Previous experience in high-volume data entry, data processing, records management, document verification, or administrative support involving frequent system updates and detailed recordkeeping.

SKILLS CRITICAL FOR SUCCESS:

  • Ownership & Accountability: Takes responsibility for assigned authorizations, follows through on outstanding requests, and ensures authorization updates are completed accurately and promptly.
  • Attention to Detail & Accuracy: Maintains accurate authorization records, carefully reviews information across systems, and identifies discrepancies that could affect service coordination.
  • Problem-Solving & Initiative: Proactively identifies authorization issues, investigates discrepancies, communicates bottlenecks, and works toward timely resolutions.
  • Organization & Time Management: Effectively manages multiple authorization requests, portal updates, and follow-up tasks while prioritizing deadlines and urgent needs.
  • Collaboration & Team Support: Works closely with internal departments to ensure authorization changes are communicated and services are coordinated appropriately.
