Team PA Marine.

Team PA Marine

Advert Close date: 9th November 2026 (Please note this role may close earlier due to the volume of applications)

Purpose of Role: Provide high-quality, proactive administrative and operational support to a Marine Leadership Team (MLT) lead, enabling them to focus their time on strategic priorities, decision-making and delivery. Acting as an essential gateway to the MLT lead, the role ensures effective coordination, information flow and management of priorities, contributing to the smooth and efficient operation of the wider Marine team.

Working collaboratively with the wider Marine PA/Team Coordinator (TC) community, Marine Executive Assistant (EA) and Business Operations Manager, the Team PA will develop a broad understanding of the Marine Strategic Business Unit (SBU) and its strategic priorities, enabling them to anticipate needs, manage competing demands and provide tailored support. Through strong stakeholder management and a critical-thinking mindset, the role will help connect activity across Marine, ensuring information, actions and priorities are coordinated effectively and deadlines are met.

Through effective management of key administrative and operational activity, the Team PA creates the capacity for the MLT lead to focus on leadership and strategic delivery while supporting consistent operational excellence across Marine.

Main accountabilities:

  • Proactively manage complex diaries for MLT leads, anticipating priorities, resolving scheduling conflicts and coordinating meetings and appointments to ensure their time is used effectively.

  • Work collaboratively with the wider Marine PA/TC community and Marine EA to coordinate leadership activity, plan ahead for key business cycles and act as a gatekeeper for key deadlines and submissions, ensuring relevant teams are aware of timelines and that Group Leadership Team and Board submission dates are met.

  • Build strong, collaborative relationships with Team Coordinators and other Assistants across the SBU, providing a consistent approach to business support, sharing information effectively and providing reciprocal support and absence cover.

  • Coordinate and facilitate team meetings, away days and wider team activities, providing effective meeting support through accurate minute-taking, capturing key decisions and actions, and maintaining appropriate records to support accountability and timely follow-up.

  • Provide high-quality administrative and operational support, including managing travel, accommodation and expenses and preparing, drafting and editing correspondence, presentations, papers and reports to support effective communication and decision-making.

  • Support compliance with relevant Crown Estate policies, procedures and governance requirements, including expenses, gifts and hospitality and procurement guidelines, ensuring activities are coordinated appropriately and in line with requirements.

  • Proactively manage relationships and enquiries from external stakeholders, consulting with colleagues across Marine as appropriate to provide a professional and customer-focused service and ensure matters are resolved efficiently.

  • Embed sustainability into day-to-day administrative and operational activities, making responsible choices when coordinating meetings, travel, events, purchasing and office activities, in support of The Crown Estate’s environmental objectives.

  • Actively contribute to The Crown Estate's Business Support Community, sharing knowledge, building relationships and supporting consistent and effective business support practices across the organisation.

Person Specification:

  • Previous experience providing administrative or team support in a busy and varied environment, with the ability to manage multiple priorities and changing demands.

  • Strong written, numerical and digital skills, with experience producing high-quality documents, presentations and reports, taking accurate meeting minutes and capturing key decisions and actions, and the ability to understand basic financial and annual report terminology.

  • Excellent written and verbal communication and interpersonal skills, with the ability to build effective working relationships with senior leaders, colleagues and internal and external stakeholders, influence appropriately and seek support when needed.

  • Proactive and resourceful approach to problem-solving and continuous improvement, with the ability to identify opportunities to improve processes, share knowledge and work collaboratively with others to improve efficiency.

  • Excellent organisational and time-management skills, with the ability to work independently, use initiative, manage competing priorities and deliver agreed objectives to deadlines, including when working under pressure.

  • Tactful, resilient and diplomatic, demonstrating sound judgement and discretion when handling sensitive and confidential information.

  • Confident using Microsoft 365 and other relevant administrative tools, with the ability to learn and adopt new systems and technology, alongside a willingness to understand and contribute to The Crown Estate's purpose, values and corporate priorities.

  • Can demonstrate the behaviours of Better Together, Candour with Care, Resourceful and Accountable which are linked to our values of Together, Caring, Creative and Impactful.
