Senior Executive Assistant.

FULL TIMEON-SITESENIOR LEVELPEOPLE & OPS

Job Summary

We are seeking a full-time, on-site Senior Executive Assistant in Austin, TX who brings exceptional judgment, steadiness under pressure, and an unwavering sense of ownership. In this role, you will serve as a trusted partner to the Chief Executive Officer and the Chief Commercial Officer, navigating high-priority initiatives, complex scheduling needs, cross-functional operations, and sensitive, confidential matters with precision and maturity. Your work will directly influence the organization’s ability to scale, ensuring the CEO and the CCO remain focused on the most critical priorities while key projects and teams operate with clarity and momentum.

This is more than a traditional administrative support role. The ideal candidate enjoys solving problems, driving projects forward, improving systems, and acting as a strategic extension of the CEO and the CCO.

Primary Relationships

You will work in close partnership with the CEO and the CCO, collaborating broadly across the organization to support key priorities. You will also engage with investors, board members, consultants, healthcare providers, and other external partners, representing the company with professionalism, clarity, and discretion.

Primary Job Responsibilities

  • Manage and protect the CEO’s and CCO’s calendars, ensuring priorities are maintained, conflicts are resolved, and follow-ups are completed across teams
  • Arrange complex domestic and international travel, including managing last-minute changes and handling urgent issues independently, even during off-hours
  • Coordinate investor and board meetings; prepare agendas, take minutes, and organize materials with meticulous attention to detail
  • Lead and track cross-functional projects; monitor timelines, deliverables, and accountability across departments
  • Drive process improvements and operational initiatives that increase organizational effectiveness and scalability
  • Serve as a liaison between the CEO, CCO, and internal or external stakeholders with clear, timely communication
  • Maintain appropriate confidentiality, discretion, sound judgment, and consistent service when handling sensitive information and requests
  • Provide personal administrative support as needed, exercising the same level of professionalism, confidentiality, and discretion expected in all aspects of the role
  • Design, implement, and refine organizational systems and workflows that improve efficiency and execution
  • Identify and resolve problems proactively, gradually taking on decision-making responsibilities as trust and familiarity with the executive’s preferences grow
  • Contribute positive energy and a steady, collaborative presence in high-pressure or unpredictable situation
  • Continuously adopt new tools, technologies, and best practices that enhance executive support and organizational effectiveness

Skills and Qualities We Value

High level of integrity, discretion, and emotional intelligence

Proven ability to work independently without daily direction while supporting a high-demand executive

Strong communication skills and the ability to build trust through reliability and professionalism

Positive presence, strong interpersonal judgment, and the ability to bring steadiness to fast-changing situations

Commitment to continuous learning and improving internal processes

Comfort working across multiple departments and leading project execution

Ability to stay composed, organized, and solutions-oriented under pressure

Qualifications

  • A minimum of Associate’s degree required; Bachelor’s degree preferred
  • 8+ years supporting senior executives with combined experience in executive assistance and project or operations management
  • Experience supporting a founder, CEO, or C-level executive preferred
  • Demonstrated experience managing confidential information and sensitive communications
  • Strong experience managing competing priorities, shifting deadlines, and high-volume demands
  • Advanced proficiency in Microsoft Office Suite, Zoom, Teams, SharePoint and similar platforms
  • Biotech, pharma, or tech experience is advantageous but not required
  • Background working in a fast-paced, high-growth environment preferred
  • Familiarity using modern productivity and AI tools (Microsoft Copilot, ChatGPT, or similar) to improve efficiency is a plus
  • Onsite availability in Austin, TX, 4 days minimum
  • Ability to travel up to 10%

What Makes Someone Effective in This Role

Success in this position comes from anticipating needs before they surface, creating structure in complexity, and bringing a calm, trustworthy presence to every interaction. We value those who take initiative, work with care and discretion, and help a CEO, CCO, and organization operate at their highest level.
