About the role

The Warehouse & Facility Coordinator is responsible for coordinating daily warehouse operations while ensuring the facility, equipment, and work areas remain safe, clean, organized, and operational. This position combines inventory and material coordination with hands-on facility maintenance, vendor coordination, and general building support. The ideal candidate is organized, dependable, mechanically inclined, and able to balance administrative responsibilities with hands-on work in a fast-paced warehouse environment.

What you'll do

  • Receive, inspect, and log incoming shipments of AV equipment, electrical components, tools, and materials against purchase orders and packing slips; inspect returned equipment for damage or missing components and coordinate repairs, RMAs, or replacement as needed.
  • Maintain accurate inventory records in the company's inventory/asset tracking system, including check-in/check-out of tools and equipment for job sites; conduct regular cycle counts and periodic physical inventories and resolve discrepancies.
  • Pull, stage, and prepare materials and equipment for scheduled projects; manage product returns (RMA) processes for multiple divisions.
  • Coordinate incoming and outgoing deliveries with vendors, couriers, and project teams, including scheduling pickups and returns as needed.
  • Organize warehouse storage areas, shelving, and staging zones to optimize space and accessibility.
  • Operate warehouse equipment such as forklifts, pallet jacks, and hand trucks, and maintain a clean, organized, and safe warehouse environment in accordance with company safety policies and OSHA guidelines.
  • Communicate proactively with project managers, technicians, and purchasing staff regarding material availability, shortages, and delivery timelines.
  • Coordinate with the Logistics team to assist with loading and unloading company vehicles and coordinating job site material drop-offs.
  • Support annual inventory audits and assist with warehouse process improvement initiatives.
  • Perform routine inspections of the building, grounds, warehouse, and equipment; assist with snow removal, grounds maintenance, and other general facility needs as required.
  • Complete basic repairs and preventive maintenance as needed; monitor facility supplies and order as needed.
  • Perform other duties as assigned.

Qualifications

  • High school diploma or equivalent required.
  • 1-3 years of warehouse, inventory, logistics, or materials coordination experience; experience in AV, electrical, or construction-related industries preferred.
  • Working knowledge of inventory management systems (experience with Rippling or similar platforms a plus) and basic computer proficiency, including email and spreadsheet use.
  • Forklift certification or ability to obtain certification within a specified probationary period.
  • Strong organizational skills, attention to detail, and ability to lift and move materials in a fast-paced environment.
  • Valid driver's license with an acceptable driving record.
  • Self-motivated, with the ability to work independently and prioritize tasks with minimal supervision.
