Position Overview The Billing Associate is responsible for supporting the billing process by preparing, reviewing, and issuing invoices to customers in a timely and accurate manner. This role ensures the integrity of billing data, assists with resolving billing discrepancies, and provides excellent customer service to both internal and external stakeholders. Key Responsibilities Prepare and generate customer invoices based on contracts, purchase orders, and service delivery records. Review billing data for accuracy and completeness prior to invoice issuance. Process billing adjustments, credits, and refunds as required. Respond to customer inquiries regarding invoices, payments, and billing discrepancies. Collaborate with sales, customer service, and finance teams to resolve billing issues. Maintain organized billing records and documentation in accordance with company policies. Assist with month-end and year-end billing close processes. Support the implementation of billing process improvements and automation initiatives. Ensure compliance with company policies, procedures, and relevant regulations. Provide regular status updates and reports on billing activities to management. Qualifications High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Finance, or Business Administration preferred. 1+ years of experience in billing, accounts receivable, or a related finance role. Familiarity with billing software and ERP systems (e.g., SAP, Oracle, QuickBooks). Strong attention to detail and accuracy. Good organizational and time management skills. Effective written and verbal communication skills. Ability to work independently and collaboratively within a team. Proficiency in Microsoft Office Suite, especially Excel. Preferred Skills Experience in customer service or client-facing roles. Fluent in French. Knowledge of industry-specific billing practices. Ability to handle confidential financial information with discretion. Experience working in a fast-paced environment with tight deadlines. Working Conditions Office-based role with standard business hours. May require occasional overtime during billing cycles or month-end close. Reporting Structure Reports to the Billing Supervisor, Billing Manager, or Finance Manager.
