Job Description – Senior Associate, OTC Cash ApplicationPosition TitleSenior Associate – Order to Cash (OTC) Cash ApplicationJob SummaryThe Senior Associate – OTC Cash Application is responsible for accurately applying customer payments, reconciling accounts, resolving unapplied cash, investigating payment discrepancies, and supporting month-end close activities. The role requires close collaboration with Billing, Collections, Customer Success, Treasury, and Finance teams to ensure timely cash posting, account reconciliation, and maintenance of customer accounts in compliance with company policies and service level agreements.Key ResponsibilitiesCash Application & ReconciliationProcess and apply customer payments received through ACH, Wire Transfers, Checks, Credit Cards, Lockbox, and other payment channels.Match customer remittances to open invoices and credits accurately.Research and resolve unidentified, unapplied, and misapplied cash transactions.Perform daily cash reconciliation between bank statements and ERP systems.Monitor customer accounts and investigate payment discrepancies.Issue Resolution & Stakeholder ManagementCoordinate with customers, Collections, Billing, Sales, and Customer Success teams to resolve payment allocation issues.Handle short payments, overpayments, deductions, chargebacks, and disputed transactions.Support customer account clean-up initiatives and maintain account accuracy.Respond to internal and external inquiries related to payment application and account balances.Reporting & ControlsPrepare daily, weekly, and monthly cash application reports and KPIs.Support month-end and quarter-end close activities.Ensure compliance with SOX controls, audit requirements, and company policies.Identify process improvement opportunities and recommend automation solutions.Process ImprovementParticipate in continuous improvement initiatives to enhance cash application efficiency.Assist in UAT testing, system enhancements, and implementation projects.Document and maintain standard operating procedures (SOPs).Required QualificationsBachelor's degree in Commerce, Finance, Accounting, Business Administration, or related field.3–6 years of experience in OTC, Accounts Receivable, or Cash Application processes.Strong understanding of Accounts Receivable, cash posting, reconciliation, and deduction management.Experience working in a shared services or global business services environment.Strong analytical and problem-solving skills.Excellent communication and stakeholder management abilities.Proficiency in Microsoft Excel, including Pivot Tables, VLOOKUP/XLOOKUP, and data analysis techniques.Preferred QualificationsExperience working with global clients and multiple currencies.Knowledge of SOX controls and audit requirements.Exposure to automation tools and process improvement methodologies.Experience in SaaS, subscription billing, or recurring revenue environments is an advantage.Software SkillsZuoraSAP (ECC/S4 HANA)Oracle ERPNetSuiteMicrosoft Excel (Advanced)BlackLineSalesforceHighRadiusKyriba / Treasury SystemsPower BIMicrosoft Office SuiteKey CompetenciesAttention to DetailAnalytical ThinkingProblem SolvingCustomer FocusTime ManagementCross-functional CollaborationProcess Improvement MindsetOwnership and AccountabilityKey Performance Indicators (KPIs)Cash Application Accuracy %Daily Cash Posting TimelinessUnapplied Cash ReductionAging of Open Cash ItemsSLA AdherenceReconciliation AccuracyProcess Improvement Contributions
